About Neonatal Services
The Newborn Intensive Care Unit (NICU) is one of five tertiary referral centres in Melbourne, dedicated to providing specialised care for premature and critically ill newborns across Victoria. Each year approximately 1,600 premature and medically vulnerable infants are admitted.
Beyond clinical care, the Neonatal Service plays a vital role in education and training at local, national and international levels, supporting healthcare professionals in enhancing their neonatal expertise. The unit is actively engaged in various research programs, including those that contribute to long-term follow-up care of high-risk infants.
The Women’s NICU is a 59-bed unit. It consists of 27 level 5-6 cots, and 32 level 3-4 cots. There are additional care spaces to provide some flexibility depending on patient mix, acuity and needs (i.e. isolation, procedures and ‘rooming in’). The team works within a Family Integrated Care 9 FiCare) Model, fostering collaboration between families and healthcare professionals. This approach empowers parents to become confident, knowledgeable and independent primary care givers.

About the Role
The Neonatal Administration Officer plays a vital role in supporting the smooth, coordinated and efficient operation of neonatal services. This position provides high‑level administrative assistance to nursing, medical and education leaders, helping clinical teams deliver exceptional care to newborns and their families.
The role involves managing calendars, coordinating meetings, maintaining accurate clinical documentation, supporting recruitment processes and overseeing procurement to ensure uninterrupted daily operations. It also contributes to quality improvement initiatives, strengthens administrative systems and provides reliable backfill support across neonatal services to maintain continuity of care.
This position suits an organised, proactive and collaborative administrator who thrives in a fast‑paced clinical environment and is motivated by work that directly supports high‑quality neonatal care.
A regular day will see you
- Coordinate daily administrative operations to support smooth neonatal clinical workflows
- Manage calendars, schedules and communication for nursing, medical and education leaders
- Prepare, maintain and distribute accurate clinical documentation and records
- Organise meeting logistics, including agendas, minutes and follow‑up actions
- Maintain efficient filing, data entry and record‑management systems
- Oversee procurement processes and monitor stock levels for clinical supplies and equipment
- Support recruitment activities, including interview coordination and documentation
- Contribute to quality improvement initiatives and service development projects
- Provide reliable backfill support across neonatal administrative functions
- Use EMR systems to support clinical and administrative processes
- Collaborate with clinical and administrative teams to enhance service efficiency
- Communicate professionally and respectfully with staff, families and external stakeholders

You will bring
- Relevant administration training or equivalent experience, demonstrating strong administrative foundations
- Experience supporting a wide range of administrative tasks in busy or complex environments
- Excellent communication and interpersonal skills, with the ability to engage professionally and empathetically
- Confidence working with people from diverse cultural, linguistic and social backgrounds
- High computer literacy, including Microsoft Office, Outlook, Teams, WebEx and digital databases
- Strong attention to detail and accuracy in documentation, data entry and record‑keeping
- Effective time‑management skills, with the ability to prioritise and meet deadlines
- Sound problem‑solving skills and the ability to implement practical solutions
